Position: Administrative Assistant â Full-TimeLocation: PruittHealth Hospice â Pee Dee, located in Florence, SCPOSITION SUMMARY:Provides clerical and administrative support to the faculty and staff within the guidelines of federal, state and local laws as well as the company. Reports to the Hospice Administrator and assists the Director of Health Services.ESSENTIAL JOB FUNCTIONS, DUTIES, AND RESPONSIBILITIES: Conduct new employee and annual employee physical examinations. Administrative Support to the Administrator and the Director of Health Services Monitor daily clinical activities and identify/ implement processes for improvement. Hold confidential all company, facility, resident, and employee information. Maintain cknowledge base of Federal and State OSHA, CDC, and other regulatory agencies to insure compliance concerning employee physical examination, surveillance and medical treatment / referral.Additional Responsibilities Include, but are not limited to: Answer phones and direct calls accordingly Open, process, sort and route mail to proper person as well as prepare outgoing mail Maintain office supplies inventory, office equipment such as scanners, facsimile machines, computers, and photocopiers Manage, schedule and coordinate meetings and conference rooms Organize client files and file medical records and invoices Submit electronic payments for medical records and other case expenses Learn and utilize case management software; ideally become a firm lead on updates, enhancements and processes Update, research and follow-up on outstanding vendor accounts and contact information Utilize accounting software for expense data entry Support paralegals, case managers and attorneys as needed Assist in small business, marketing and operational projects as needed Full-time availabilityDesired Behaviors & Skills Extremely well organized and detail-oriented Strong communication skills â written, on the phone and in-person Professional and courteous; positive attitude Self-starter; quick learner Process-oriented Demonstrate proficiency with Microsoft Office products (e.g., Word, Excel, Outlook) Experience with QuickBooks and case management software a plus, but not requiredLICENSURE, CERTIFICATION, AND EDUCATION REQUIREMENTS:Bachelor's degree from an accredited college or university preferred.Freedom from illegal use of drugs, and freedom from use and effects of use of drugs and alcohol in the workplace.TRAINING, SKILLS, AND EXPERIENCE REQUIREMENTS: 2 â 5 years in a professional workplace environment Excellent computer skills Bi-lingual a plus, but not required Hospice experience a plus, but not requiredIn this position, the partner must be able to tolerate a high pace work enviornment. Must be able to take and give instructions well and enjoy working with the elderly.
