Groups: Recover Together Senior Office Manager in Greenville, South Carolina

Groups Recover Together was founded in 2014 to make treatment for opioid addiction respectful, accessible and affordable. We empower our members to regain control of their lives through a combination of community support, outpatient weekly group therapy and medication to manage withdrawal using buprenorphine and naltrexone.

What differentiates Groups is the belief that long-term recovery from opioids is tied to aspects of life that are beyond the reach of traditional medical care. We approach fighting addiction as a team sport and provide each member with a care team that works together to ensure our members receive comprehensive, coordinated care. Our outpatient model is designed to fit into our member’s schedules so they can keep working and living a normal life. As a result, our outcomes reflect the success of our model and the commitment of our members with 73% remaining in treatment after 6 months, 90% attending group therapy each week and 89% abstaining from illicit substances each week.

We have over 5,000 members seen weekly via our fully virtual care model and have physical locations across the country with additional openings planned in 2021.

At Groups, the Senior Office Manager is responsible for ensuring front office operations are operating to Groups standards. This position is responsible for effective management and supervision of one or more Office Managers.

  • Responsible for overall cleanliness and office appearance.

  • Responsible for management and opening/closing one or more Groups’ offices.

  • Welcome everyone into the office and is the first contact for all members and or visitors.

  • Provide admissions forms to new members arriving for intake appointments.

  • Confirm insurance eligibility and sign up information at intake and when needed for new members.

  • Manage member flow in the office, including member check in, processing payment (self pay, full prescription workflow, managing prescriptions for members and other related tasks)

  • Maintain accurate member insurance/ demographic information in the EMR.

  • Answer general office level questions from members regarding program concerns, pharmacy issues, and /or other personal needs of the program (if unable to answer questions, will help the member find the correct point of contact).

  • Manage the overall budget and petty cash fund for the office including and help the finance department complete reports on a daily/weekly basis through accurate record keeping.

  • Assist with urine screen process during intake and group.

  • Responsible for coordinating member medication counts.

  • Day-to-day operational supervision of counselors and office manager.

  • Manage, train and complete performance evaluations of existing Office Managers and assist recruiting team recruit new Office Managers.

  • Ensure our front office operations in the designated area are operating to Groups standards.

  • Assist providers on first day of employment in a Groups office and make sure administrative tasks are completed before start (for telehealth, VC/screenshare necessary).

  • Perform health and safety drills.

  • Oversee supply orders and other necessary equipment/furniture purchases for designated offices.

  • Responsible for one or more offices owning coverage for any Office Manager PTO or illness.

  • Assist Director in solving any lagging operations or difficult situations.

  • Own operational performance of the office(s), as tracked in office/region/state scorecards.

  • Responsible for maximizing operational KPIs.

  • Assist in preparation for site audits with state licensing, accreditation, and managed care organizations.

  • Performs other duties as assigned.

  • 4+ years of office management experience (medical office preferred but not required).

  • Experience managing and growing a P&L budget is preferred

  • Experience building and managing a team is required

  • Proven ability to balance multiple project and manage priorities to ensure timeliness and follow-through

  • Exceptional and versatile problem-solving skills and the ability to thrive in high-stress, fast-paced situations.

  • Strong interpersonal skills with the ability to work independently and as part of a team

  • Strong verbal and written communication skills

  • Highly organized, able to multi-task, and easily adapts and respond to change

  • Strong IT skills including Google Apps

  • Must have a valid driver’s license, clean driving record and own transportation to travel to multiple offices.
