SC Department of Public Safety Administrative Specialist II - Office of Support Services in Richland County, South Carolina

Job Responsibilities

The Employee will provide administrative support to the Support Services Team. The Employee will be responsible for monitoring the work order request email account and creating applicable work orders for received requests, accurate data entry of monthly utility bills, the receipt and recording of motor pool reservations, the issuing of motor pool vehicles, assisting in assuring the cleanliness and maintenance of motor pool vehicles, maintenance (receipt and archival) of vehicle trip logs for all civilian employee trips, and providing additional assistance throughout Support Services as needed.

Regularly and consistently monitor work order email account for maintenance or custodial requests. Key requests into work order system and assign appropriately. Follow-up for completion/activity and escalate to supervisors as necessary.

Correctly key new utility data into Energy Manager, maintain accuracy of records, and execute reports as requested.

Receive and correctly record motor pool reservations, assuring vehicles are available for all reservations daily. Issue and receive back motor pool vehicles, assuring that trip logs are competed appropriately.

Receive and archive civilian employee trip logs.

Assist with large fuel card organization and disposal as required, as well as insurance cards.

Assist with the movement of motor pool vehicles (and others) for cleaning, maintenance, or disposal.

Other additional assistance as requested and prompt response to emails and calls (i.e. mail room coverage, records disposal, requested written correspondence, etc.). Minimum and Additional Requirements

State Minimum RequirementsA high school diploma or GED. Related clerical experience may be substituted for a high school diploma.

Agency Minimum RequirementsHigh school diploma and five (5) years of administrative/secretarial and data entry experience. An associate's degree may be substituted for two (2) years of experience.

Additional Requirements Must be punctual and dependable in attendance. Must possess a personable, but professional demeanor, as the position will be responsible for responding to all levels of employees between two agencies. Must have solid skills in Microsoft Office applications - specifically, Excel, Word, and Outlook, as well as standard office machines.

Mus have a drive to complete normal tasks and a flexible attitude to complete additional tasks as requested by supervisor. Must be driven for data accuracy/possess strong attention to detail. Solid written and verbal communication skills are a must.

Employee will be under general supervision of the Support Services Operations Manager, with additional guidance from the Fleet Services Program Coordinators.

Must be able to lift up to 30 pounds. Must be able to remain seated for extended periods at a desk, working with computer and paper in a cubicle office environment. Additional Comments

Salary: $22,625.00 - $41,866.00 Annually
